Open Position - Protocol Officer

Protocol Officer Job Description:
The Protocol Officer will manage all protocol aspects of (military client) ceremonies, events, dinners, banquets, town halls meetings, and social events to include but not be limited to change of command/director/responsibility ceremonies, promotion ceremonies, retirement events, and award events. They will also provide protocol assistance to the conference planning team in the execution of client activities including conferences, meetings,and participation in government-related trade shows and exhibits. The Protocol Officer will work under general supervision and direction of the Conference Team Manager.
Qualifications
-Minimum 3 years protocol experience within in the military.
-Specific protocol experience in the Army environment a plus.
Major Tasks, Responsibilities, and Key Accountabilities
-Ensure all planning is done in accordance with current and
applicable protocol requirements and regulations.
-Prepare in progress review (IPR) reports on protocol activities and
deliver to senior leadership professionally and diplomatically.
-Manage all logistical planning of protocol events including but not
limited to agenda compilation, program development , transportation
arrangements, development of detailed seating plans, flag set up,
coordination of Color Guard, Chaplain, and vocalist, script
development and execution, public affairs coordination, food and
beverage requirements, audio-visual requirements, development of
timing and action plans, creation of audience profiles, formal
invitation development and tracking, and development and execution of
budget for all assigned activities.
-Assist in coordination of protocol related activities associated
with client meetings and events to include but not limited to speaker/
distinguished visitor coordination, award banquets, and VIP events.
-Coordinate pre-planning meetings with appropriate team members,
compose detailed meeting notes, and disseminate appropriately.
-Research and recommend appropriate ceremony sites and vendors that
support protocol objectives.
-Track expenditures to stay within or below established budget.
-Develop event invitation lists and track responses. .
-Coordinate with all vendors to ensure services and materials are
professional and appropriately reflect appropriate standards.
-Provide professional on-site protocol management of events.
-Complete post-event tasks to include reconciliation of any protocol
expenses, evaluation of vendors and event, and brief back on protocol
events.
Required Knowledge, Skills, Abilities, and Competencies
-Ability to work flexible hours and some evenings as protocol events
dictate.
-Travel may be required
-Knowledge of military protocol standards and practices
-Knowledge of government regulations regarding vendor procurement
-Familiarity with Department of the Army Pamphlet 600-60,
Personnel-General, A Guide to Protocol and Etiquette for Official Entertainment
-Familiarity with Department of the Army Pamphlet 600-25,
Personnel-General, Salutes, Honors and Visits of Courtesy
-Familiarity with Department of the Army Regulation 840-10, Heraldic Activities, Flags, Guidons, Streamers, Tabards, and Automobile and Aircraft Plates
-Ability to work well under pressure and multi-task competing
projects
-Highly organized and extreme attention to detail
-Ability to work in a team environment as well as independently
-Problem-solving and analytical skills
-Verbal and written communication skills including active listening
and questioning skills
-Ability to implement standardized operating procedures
-Advanced computer literacy with Microsoft Excel, Word, Outlook,
PowerPoint, Project and Internet Explorer
